Rental Policies

General Information

Sea Coast Rentals manages properties which are privately owned and are furnished according to the owners’ tastes and certain standards recommended by us. Most reservations are made by phone but should you have special requirements in mind, we suggest you visit the property prior to confirming your reservation. We do not move or change rental units should you have different preferences on the décor or color coordination of the rented premises. We work for the property owners and will be unable to make other accommodation arrangements after your arrival. Summer hours of operation are Monday-Friday 8:30 am to 5:00 pm, Sat 9am to 6pm and Sundays 10 - 3:00pm. Off-season hours vary slightly, closed Sundays.


Decide on a property that will meet your vacation requirements. Call our toll-free number and a reservationist will make a tentative reservation. After we book a property for you, we’ll email a lease agreement for your digital signature to accept the terms of your stay. You are required to sign and return the lease with an advance rent of one-half the gross rent and the travel interruption insurance fee (unless you sign a waiver to delete insurance coverage). The executed lease agreement and required funds must be remitted to Sea Coast Rentals within 2 days (48 hours) or the tentative reservation will be automatically canceled.


We are required to collect North Carolina sales tax, New Hanover County, Pender County or Onslow County (whichever would apply) accommodation taxes on all fees and charges. Although subject to a change, the current tax rate is 13%.

Final Payments

Please mark your calendar and remember to log into your guest portal or send a check for your final balance no later than 30 days prior to your arrival. If the balance is not received, we will treat the reservation as a cancellation and make every effort to re-rent the property to minimize your loss. (See Cancellation Policy).

Last-Minute Reservations

Reservations made less than 30 days prior to your actual check-in will require full payment at the time the reservation is made. This can be done either by Visa, Master Card, American Express, Discover or certified check/money order that should be express mailed to us by any overnight mail service. The lease can be sent to you and returned by E-mail to expedite the completion of your reservation.

Travel Insurance

Travel Insurance is offered to you by All Seasons Travel Plan with your reservation.  If you have questions about coverage, please contact Travel Guard at 1-877-249-5376 or view your State specific information by clicking here. Please reference product number 109409 P1. Travel Insurance is not available to residents of Kansas, Montana, Indiana. 

Cancellation Policy

In the event Tenant requests cancellation of this Agreement, Tenant shall send written notice to Agent.  Reservations booked before May 22, 2020, tenant will be in default of material breach and will not be entitled to reimbursement for any advance rent payment unless Premises are re-rented. If Premises are re-rented, a refund of advance rent will be made less a $75.00 cancellation fee. Agent will try to re-rent to minimize losses. Reservations booked on or after May 22, 2020, we have adjusted our cancellation policy to reflect the following:  *Travelers who cancel at least 60 days before check-in will receive 100% of the amount they've paid (less a $75.00 cancellation fee). Note* Airbnb guests - can cancel at least 60 days before check-in and get a 50% refund of the nightly rate but not the service fee. The Airbnb service fee is not refundable.  

Group Information

We are authorized by the property owners to rent to family groups only. No sororities, fraternities, prom groups, etc. To ensure that the proper "family vacation atmosphere” exists, the registered guest must be 25 years of age or older. Those who misrepresent themselves will be asked to vacate immediately with no refund.

Local Descriptions

To avoid any confusion about a property location, please note the following. Oceanfront – indicates a property is on the Oceanside of any roadway with a direct view of the ocean. Oceanview – indicates a property with a partial to full view of the ocean from a balcony. 

Departure Cleaning

Departure cleaning is provided; however, you are expected to remove the trash to an outside container, clean out the refrigerator and load and start dishwasher prior to your departure.  Failure to comply may lead to additional cleaning charges to your account.

Arrival & Departure

All guests must check-in at the Sea Coast Rentals Office before going to any rental location. All rental units are available for rent by the week during the summer months. Some units rent from Saturday to Saturday and others are from Sunday to Sunday(Wilmington area location only).

Summer CHECK-INS begin at 4:00PM and end at 6:00PM. Topsail Beach office ends at 5:00PM. Rents must be received 30 days prior to arrival date.  Guests arriving, after office closing time, must contact our office to arrange for a late key pickup.

Off Season CHECK-INS begin at 3:00PM and end at 5:00PM. Rents must be received 30 days prior to arrival date.  Guests arriving, after office closing time, must contact our office to arrange for a late key pickup.

CHECK OUT is before 10:00AM. We adhere to this policy so please do not arrive early or plan to delay your departure.

Security Deposit Limited Liability Waiver

There are two security deposit options available.

  • Option I: Your reservation has included the purchase of the Property Protection Plan instead of paying a security deposit.  This plan carries liability protection of up to $1,500 for damage that results from accidental damage to the property due to your acts covering up to 30 days on one stay.  If a description of coverage is not included with your lease, please contact Agent for a copy.  The plan does not cover negligent, willful or wanton conduct.  You will be responsible for notifying Agent of any damage or theft immediately or at least during your occupancy, otherwise, the plan will be void.  If you choose not to purchase PPP, you must contact our office at least 30 days before your stay and have them update your reservation to show the refundable security deposit - Option II.  Tenant understands that Agent makes a commission for the sale of this product.  
  • Option II: Pay the $500.00 security deposit and if the home is left damage free, the security deposit will be returned within 45 days of checkout. You will be notified of any itemized damage charges and the total will be deducted from your security deposit.

Maximum Occupancy

Each rental property has a limited sleeping capacity. MAXIMUM OCCUPANCY (strictly enforced) is as follows: 1 Bedroom is four persons. 2 Bedroom is six persons. 3 Bedrooms is eight persons. Certain units of the same designation will sleep less. Beach Houses have varied occupancy limited by the available bedding. Exceeding the stated occupancy will result in rental termination and the loss of all paid rents.

Errors and Omissions

Every effort has been made to insure that information contained in this brochure is accurate but we cannot be held responsible for errors, omissions or a late change in pricing. Prices are subject to change.


Included with your booking is a Premier Linen Package. All beds** will be supplied with fresh sheets and pillowcases and all guests will receive 1 bath towel, 1 hand towel and 1 washcloth.  A bath mat will be left in each bathroom and a starter kit containing kitchen towel, a sponge, dishwasher liquid will be left in the kitchen. Our reservationists are always available to discuss other options and add-ons.

**For the safety and cleanliness of our guests all linens and towels will be sanitized, wrapped in protective plastic and placed at the foot of each bed.  It will be each guests responsibility to unwrap and make their beds as we feel this is the most sanitary way to do our part in your vacation.
